What schools are actually running on
Walk into most primary and secondary schools in Uganda and the records are in four places at once: a paper register in each classroom, an exercise book at the bursar's desk, a spreadsheet on one office computer, and a WhatsApp group where half the term's decisions were taken.
Nobody designed that. It grew. And it works until it does not — until a parent disputes a fee balance, a report card is missing, or a pupil transfers and nobody can find the file.
Start with the three things that hurt most
Pupil records
One record per pupil, holding their class, their guardian's contacts, their history at the school and their status. Everything else in the system hangs off it, so it is always the first thing to get right.
Fees
What was billed, what was paid, what is outstanding, and who paid it. This is the single most argued-about number in any school, and the one where a proper system pays for itself fastest.
Results
Marks entered once, totalled automatically, and printed as a report card without three people re-adding the same column. Grades, positions and termly summaries should be a by-product of entering marks, not a separate job.
Fees and mobile money
Most parents now pay by MTN Mobile Money or Airtel Money, and a school system should record those payments against the right pupil automatically rather than leaving a bursar to match a phone message to a name by hand. Two things matter here: a receipt the parent can keep, and a balance the school can trust.
Reporting that the school actually uses
Enrolment by class, fee collection against expectation, attendance, and results by subject. If a system produces reports nobody reads, it has added work rather than removed it, so ask to see the reports before you buy — not the dashboards, the actual weekly and termly outputs.
Data protection and who can see what
Records about children are sensitive. Under Uganda's Data Protection and Privacy Act, a school holds personal data and is responsible for it. In practice that means role-based access — a class teacher sees their class, the bursar sees fees, the head teacher sees everything — and a record of who changed what. Ask any vendor how access is controlled and where the data is stored.
What it costs
A school management system is a web-based application rather than a marketing website, and those start from UGX 1 million and above depending on scope: a small primary school needing records, fees and results is a very different build from a secondary school with several streams, boarding, staff payroll and termly returns. Ask for a quote against your own pupil numbers and the modules you will actually use.
What we built: SchoolDigital-UG
SchoolDigital-UG is our own school management system for Ugandan primary and secondary schools — pupils, classes, staff, fees and reporting in one place. It is an in-house product rather than a client build, and if you run a school and want to see whether it fits how yours works, talk to us.
The takeaway
Buy the three things that hurt first — records, fees, results — and insist on seeing the reports you will actually read. A system that digitises everything at once is a system nobody learns to use.
Frequently Asked Questions
How much does a school management system cost in Uganda?
A school management system is a web-based application, and those start from UGX 1 million and above depending on how many of the modules you need — pupil records, fees, results, staff, reporting. A small primary school needs far less than a secondary school running several streams, so ask for a quote against your own pupil numbers rather than a brochure price.
What if our school has poor internet?
Design for it rather than hoping. That means a system that works on a phone as well as a desktop, keeps the screens small enough for a weak connection, and lets staff work in batches rather than requiring every entry to be saved online in real time. Ask any vendor to demonstrate it on the connection you actually have.
